A guest is missing from the chart
Updated
In short
A guest only appears on the chart once they're seated at a table. Check the Guest list on the Floor plan screen (the Unassigned tray on a phone). Guests marked Declined never take a seat or appear on charts. Also check you're looking at the right seating plan, and that no filter is hiding them on the Guests screen.
If someone is on your guest list but not on the floor plan or a printed chart, it’s almost always one of the reasons below. Work through them in order.
1. They haven’t been seated yet
Why: charts only show guests who have a table. Everyone else waits in the guest list as unseated.
Fix: go to Floor plan. On a computer, the Guest list on the left shows everyone without a table under Unseated. On a phone or tablet, open the Unassigned tray at the bottom. Drag the guest onto a table or chair, or tap an empty chair and pick them from Seat a guest here. See seat guests at tables.
Think they’re seated but can’t spot them? Switch the Guest list to All and click their name. Their chair pulses on the plan and scrolls into view.
On Print & Export, a warning tells you how many attending guests aren’t seated yet: “not seated — they won’t appear on the chart”.
2. They’re marked Declined
Why: a declined guest never takes a chair and is left off charts and the Find Your Seat page, even if they still have a table.
Fix: if they’re coming after all, change their RSVP to Attending. See track RSVP status.
3. You’re looking at a different seating plan
Why: each seating plan, such as Reception or Ceremony, has its own tables and seating. Your guest list is shared, but seating someone in one plan doesn’t seat them in the others.
Fix: check the plan switcher next to the wedding’s name in the top bar. On Print & Export, check the Seating plan box. See weddings vs seating plans.
4. A filter or search is hiding them
Why: on Guests, an active search or filter only shows matching guests.
Fix: clear the search box and click Clear filters. To list everyone without a table, open Filters and set Seated to Unassigned.
5. They were deleted
Why: a deleted guest is gone from the list and the chart.
Fix: if it just happened, press Undo (⌘Z or Ctrl+Z). Otherwise add them again, or restore an earlier snapshot with version history (Pro).
6. They’re on the chart under a different name
Why: if a guest has a preferred display name, the chart uses it. Plus-ones you haven’t named yet show as the host’s name followed by “+1”.
Fix: open the guest and check their name fields. Give plus-ones their real name once you know it.

Frequently asked questions
Why isn't a guest on my printed seating chart?
They're probably not seated at a table yet, or they're marked Declined. Check the Guest list on the Floor plan screen (the Unassigned tray on a phone).
Names aren't showing beside the chairs. Why?
Names appear once you zoom in far enough; zoomed out you see initials. If they never appear, turn on Show names on chart in the toolbar's More menu.
Why did Auto-Seat skip some guests?
Auto-Seat only seats guests marked Attending or Maybe. New guests start as Invited, so update their RSVP and run it again.
I seated a guest but they're not on the ceremony chart. Why?
Each seating plan has its own seating. Seat them in the ceremony plan too, using the plan switcher next to the wedding's name.
