How do I share the seating chart with my venue, caterer or DJ?
Send each vendor a read-only link instead of inviting them. Your caterer sees meal counts and dietary notes per table, the venue coordinator the floor plan and table list, the DJ or MC the head table in seat order, and your stationer names by table and A–Z, with copy-paste formats for Corjl, Templett or Canva templates.
Vendors open the page in any browser without signing up, and it always shows your latest seating. No vendor sees emails, phone numbers, addresses or private notes. Vendor links are free on every plan, and you can turn one off or replace it any time.

How do I invite someone to my seating plan?
Step 1
Send a private invite
Enter your partner’s or planner’s email and they get a private invite link. Whoever opens and accepts that link joins your plan; copy or resend the link from the share panel if it goes astray.Step 2
Set each role
Choose Editor for people who’ll make changes, or Viewer for people who only need to review.Step 3

One person edits at a time. When another Editor needs to change something, they click Request edit and the current editor hands it over. As owner, you can Take control at any time.Step 4

Everyone follows the same current plan — no attachments, no “which version is latest?”.
Can two people edit at the same time?
No — and that’s deliberate. Lovely Seating doesn’t use simultaneous, Google-Docs-style editing. Instead, one person edits while everyone else follows the current plan — so two people never move the same guest or rebuild the same table at once.
When another Editor needs to make a change, they click Request edit. The current editor finishes up and hands it over, without spinning off another copy of the plan. As owner you can also Take control after a quick confirmation. If the active editor disconnects, control is released so no one is left waiting.
Saves are revision-checked, too: a stale browser tab or another device can’t overwrite a newer save, and changes stay recoverable with undo and version history.

Olivia creates the plan for their 126-guest reception and invites James and their planner Ava as Editors, then sends the venue coordinator a read-only vendor link.
Olivia assigns the first family tables while James follows along. When she’s done, James clicks Request edit and adjusts guests from his side of the family. Later Ava takes her turn to check capacities, the space around the dance floor, the entrance route and a guest with an accessibility note — while the venue coordinator checks the latest floor plan from their link without being able to change anyone’s seat.
Everyone works from the same plan. No one has to ask whether the spreadsheet on yesterday’s email is still the current one.

What to know about collaborative planning
One person edits at a time
Others follow the current plan and can request edit access. This isn’t simultaneous multi-user editing — it’s a single active editor with a clean hand-off.
Viewers can’t change the plan
Viewer access is for reviewing. Give someone an Editor role when they should be able to take control and make changes.
Invited collaborators don’t buy a plan
Inviting collaborators is part of Pro ($39 one-time, one wedding) and Agency. Shared-plan capabilities follow the owner’s account tier, so a partner or planner you invite doesn’t need to buy their own plan to access the wedding you shared.
You stay in control as owner
Inviting someone never transfers ownership. You manage invitations, roles and access removal — collaboration decides who can edit, not who owns the plan.

Can my partner help with the seating plan?
Yes. As the plan owner you can invite your partner as an Editor or a Viewer. They get a private invite link by email; an Editor can make changes when it’s their turn, and a Viewer can review the current plan.
How do invites work?
Enter someone’s email and choose a role. They get a private invite link, and whoever accepts that link joins the plan (if they sign in with Google using the same verified email, they’re added automatically). The share panel shows who has Joined and who’s still Waiting, and lets you copy or resend a link.
Do I need Pro to invite collaborators?
Yes. Inviting collaborators is part of Pro — $39 one-time for one wedding — and of Agency ($79/month) for planners managing many clients. The people you invite don’t pay anything.
Can my wedding planner edit the plan?
Yes, when you invite them as an Editor. Only one person actively edits at a time, so the planner clicks Request edit before making a change.

Can I invite someone who should only review?
Yes — invite them as a Viewer. That suits a parent or anyone who should see the whole plan without changing it. For a vendor, a vendor link is usually better: it shows only what that vendor needs and needs no account.
Do vendor links need Pro?
No. Vendor links are free on every plan, and your vendors don’t pay or sign up. Only the spreadsheet (CSV) downloads on a vendor page follow the usual export rule and need Pro. The caterer’s page is the only one with meal choices and dietary notes next to guest names.
Can I remove someone later?
Yes. As the owner you can change a collaborator’s role or remove their access at any time from the share panel.
What happens if the active editor leaves?
If the editor closes the tab or loses connection, editing control is released so the plan isn’t left locked to someone who’s no longer working in it.
Can collaborators see private guest information?
Collaborators see the information in the shared plan according to their role. Because a plan can hold sensitive notes, invite only people who genuinely need access, and use Viewer or Editor roles thoughtfully.
