Print & Export

Share seating with your caterer, venue, DJ and stationer

Updated

In short

Open Print & Export and click Share with your vendors. Pick the vendor (caterer, venue coordinator, DJ / MC or stationer), click Create link and send it. Each link opens a read-only page made for that vendor, with no login. You can turn a link off or replace it any time, and vendors never see emails, phone numbers or addresses.

Your caterer, venue, DJ and stationer each need a different slice of your seating plan. A vendor link gives each of them a read-only page with just their slice, so you don’t have to make four different spreadsheets. Vendor links are free on every plan.

  1. 1

    Open Print & Export

In your wedding, go to Print & Export. Under Share with your vendors, click Share with your vendors. You can also get there from the Share window.
  2. 2

    Choose an expiry (optional)

New links stop working is set to never by default. You can pick a week after the wedding, 30 days or 90 days instead.
  3. 3

Click Create link next to the vendor

The link is copied straight away and also shows in the row, with Copy link and Preview next to it.
  4. 4

    Send it to your vendor

Paste it into an email or message. They open it in any browser, on a computer or a phone, without signing up.

Each vendor type has one live link at a time. The page always shows your plan as it is now, so changes you make later reach your vendors without sending anything new.

What each vendor sees

Caterer

  • How many plates of each meal, in total and per table.
  • Dietary and allergy notes per table, with the guest’s name.
  • How many children are at each table, and each table’s seats.

The caterer’s link includes dietary notes

It’s the one vendor page with your guests’ meal choices and dietary notes next to their names. The dialog says so before you make the link. The other vendor pages never include them.

Venue coordinator

Your floor plan with each table’s name and shape, a table list with shape, size, seats and guest count, the head table, and the room size if you set one.

DJ / MC

The couple’s names, the head table in seat order, any VIP guests and wedding-party groups (a guest group named “Wedding party”, “Bridesmaids” and so on), and every table in order with its guest count.

Stationer

Names by table and an A–Z list with table names, plus the copy-paste formats described below.

Every page has a Print button that prints a clean sheet. Nobody sees emails, phone numbers, addresses, private notes or your seating rules.

Send to my stationer

Stationery sellers usually personalise templates in an editor such as Corjl, Templett or Canva. On Print & Export click Send to my stationer for your names in the shapes those editors take:

  • Names grouped by table: a “Table 1” line, then one name per line, for table cards and table plans.
  • A–Z list with table names: “Name — Table 1”, for alphabetical charts and escort-card lists.
  • Spreadsheet: one row per guest (First name, Last name, Full name, Table, Seat) and Spreadsheet: one column per table.

Click Copy on one format or Copy all, then paste. These are plain text and spreadsheets; we don’t connect to those editors directly. Guests without a table yet are left out.

Spreadsheets are part of Pro

The two text formats are free. The spreadsheet versions follow the same rule as the guest list CSV and need Pro, on vendor pages too.

In the same window, Turn off stops a link at once: anyone who opens it sees that it isn’t available. New link makes a fresh link and switches the old one off, which is handy if a link was forwarded to the wrong person.

The full link can only be copied again on the device that made it. On another device, use New link to get one you can copy.

Frequently asked questions

Do my vendors need an account?

No. The link opens a read-only page in any browser. They can print it, but they can't change anything.

Will my vendors see my guests' contact details?

No. Vendor pages never include emails, phone numbers, addresses, private notes or seating rules. Only the caterer's page shows meal choices and dietary notes with names.

Does the link update when I move people around?

Yes. The page is built from your plan each time it's opened, so it always shows the latest seating.

Do vendor links cost anything?

No, vendor links are free on every plan. Spreadsheet (CSV) downloads follow the usual export rule and need Pro.
