Adding guests
Add guests one by one
Go to Guests and click Add guest. Type a first name (the only required field), pick a group and RSVP, and open More details for email, meal, age, side or a plus-one link. Click Add guest to save. Tick Add another to keep the form open for the next person. New guests start as Invited.
Import a CSV or paste a list from Excel or Sheets
Go to Guests and click Import. Paste a list of names, one guest per line, or choose Upload CSV and pick a CSV saved from Excel, Google Sheets or Numbers. We match your columns automatically; check them, untick any rows you don't want, then click Import. Guests without an RSVP column start as Invited.
Import your guest list with AI
Open Guests, click Import and choose Let AI do it. Upload a CSV or paste your list, however messy. AI reads the names, households, groups, kids and plus-ones, asks three to five quick questions, and shows a summary to confirm. Then we import everyone, add tables and seat them with Auto-Seat. The AI never sees emails or phone numbers.
Import your guest list from The Knot, Zola or Joy
Export your guest list as a CSV from The Knot, Zola or Joy on a computer, then go to Guests, click Import, choose Upload CSV and pick the file. We match the columns, including Party as a household and RSVP answers. It's a one-time copy, not a live sync, so re-import or edit here when RSVPs change.
Add a +1 and how plus-ones are seated
Open the ⋯ menu on a guest's row and choose Add a +1. The +1 starts with the host's RSVP, group, household and side, shows as “Anna +1” until named, and follows the host's RSVP changes unless you set it differently. Auto-Seat always seats a plus-one with their guest. Each guest can have one.
Guest details
Households, couples and keeping people together
A household is a group of guests invited together, like a couple or a family. Open a guest, find Invited with (household) and click New household, or select several guests and click Household in the bulk bar. With Keep this household at the same table ticked, Auto-Seat always seats them together.
Groups and sides (bride’s side, groom’s side, friends)
Groups are colour-coded circles like your family, college friends or work friends. Create them with Guests → Groups, then pick one per guest. Sides are separate: set Whose guest? to either partner, Both sides or Other. Auto-Seat places a group together where it can, and the Guests screen counts each side.
Track RSVP status
Click the RSVP badge on a guest's row and choose Invited, Awaiting, Attending, Maybe or Declined. Guests don't RSVP through Lovely Seating; you record their replies. New guests start as Invited. Auto-Seat seats Attending and Maybe guests (and can include those who haven't replied), and Declined guests never take a seat.
Meal options, meal choices and dietary notes
Set up your menu under Overview → Meals → Manage. New weddings start with Chicken, Beef, Fish, Vegetarian, Vegan and Kids meal. Then click the Meal cell on a guest's row to pick their choice. Allergies and restrictions go in Dietary notes, a separate field, so a meal choice never hides an allergy.
Age (adult, child, infant) and accessibility needs
Set Age to Adult, Child or Infant under More details in a guest's details. Children and infants are counted separately for your caterer. For accessibility, open the guest and pick Seating needs such as Wheelchair space or Near entrance/exit. Tag tables to match, and Auto-Seat seats those guests at a suitable table.
Managing the list
Search, filter and sort your guest list
On the Guests screen, type in the search box to find guests by name, email, notes or meal. Click Filters to narrow the list by seated status, RSVP, group, table, meal, side or quick checks like Children and No RSVP yet. Use the sort menu for Name, RSVP or Table, and By table or By household to group the list.
Edit many guests at once
Tick the checkbox next to each guest, or click one and shift-click another to select everyone in between. A bar appears at the bottom with Assign, RSVP, Group, Meal, Side, Household, Must sit, VIP, Unassign and Delete. Each change applies to every selected guest, and you can undo it.
Get meal, age and side counts for your caterer
Scroll to the bottom of the Guests screen for live counts: each meal, adults, children and infants, guests still awaiting an RSVP, and how many guests are on each side. Everyone except Declined guests is counted, so finalise RSVPs before sending numbers. Overview shows the same picture, and the printable meal directory (Pro) lists each guest's meal and table.
Delete guests and undo
To delete a guest, open the ⋯ menu on their row and choose Delete, or click Delete in their details. To delete several, select them and click Delete in the bulk bar. Deleting frees their seat and removes their seating rules. Click Undo in the “Guest deleted” message, or press ⌘Z or Ctrl+Z, to bring them back.
