Move or swap seated guests
Updated
In short
To move a seated guest, open Floor plan and drag their chair to an empty chair or another table. Drop them on someone else's chair and you'll be asked Swap seats? Click Swap to trade places. You can also use the Assign menu. Locked guests can't be moved or swapped until you unlock them.
Seating charts change right up to the last week. Moving someone takes a single drag, and swapping two people is just as quick.
Move a guest on the floor plan
- 1
Zoom in
On the Floor plan screen, zoom in until you see initials or names on the chairs. This works even while Lock layout is on. - 2
Pick them up
Press on the guest’s chair and start dragging. Their name follows your pointer. On a touch screen a tap never picks anyone up; the drag starts once your finger moves a little. - 3
Drop them
Drop on an empty chair to give them that seat, or on the table itself to put them in its first free chair. You’ll see a short message such as “Seated at Table 4”.
Dropping them on empty floor does nothing, so you can’t lose anyone by accident.
Swap two guests
Drag one guest onto a chair where someone is already sitting. You’ll see:
Swap seats? That seat is taken by (their name). Swap (the two names)?
Click Swap and they trade places, table and chair. Cancel to leave everyone where they were. A swap never pushes a table over capacity, because the head count stays the same.
Dragging a guest who has no seat yet onto a taken chair asks Seat (name) here? instead: they take the chair and the guest who was sitting there goes back to the guest list.
Move a guest from a list
- On Guests, click the guest’s table chip and pick a new table. The message says where they moved from and to.
- In the guest’s details, use the Seating section’s table button.
- A guest moved from a list takes the first free chair at the new table.
If the new table is full you’ll be asked to confirm with Seat anyway.
Send a guest back to unassigned
- On the floor plan, drag their chair back onto the guest list on the left (the Unassigned tray on a phone). The list lights up while you’re over it, then drop.
- Or click the guest on the floor plan and choose Unseat in the small toolbar beside their chair.
- In the table’s panel, click Remove next to their name.
- Or open their table menu and choose Unassign.
They return to the unseated guests, ready to seat again.
Locked guests
If a guest’s seat is locked, you can’t drag them, pick a new table for them or swap them. Dropping someone else on a locked guest’s chair doesn’t offer a swap either. You’ll see a message saying their seat is locked. Unlock it in their details first. See lock a guest’s seat.
Made a mistake?
Press ⌘ Z on a Mac or Ctrl Z on Windows, or tap the Undo arrow in the floor plan toolbar. Each move or swap is one step.
Frequently asked questions
Can I swap guests at different tables?
Yes. Drag one guest onto the other's chair, wherever it is, and confirm Swap. They trade tables and chairs.
Why can't I drag a guest?
Zoom in enough to see the chairs, then drag the guest's chair rather than the tabletop, which moves the table. If their seat is locked, unlock it in their details first.
Will moving one person move their partner too?
No. Manual moves only move the guest you drag. Move their partner or household separately, or check the health check on Overview for anyone split up.
