Guests

Delete guests and undo

Updated

In short

To delete a guest, open the ⋯ menu on their row and choose Delete, or click Delete in their details. To delete several, select them and click Delete in the bulk bar. Deleting frees their seat and removes their seating rules. Click Undo in the “Guest deleted” message, or press ⌘Z or Ctrl+Z, to bring them back.

You can delete a guest in a couple of clicks, and bring them back just as quickly if it was a mistake. If someone simply can’t come, you may not need to delete them at all. Marking them Declined keeps a record and frees their seat. See track RSVP status.

Delete one guest

  1. 1

    Open the row menu

In Guests, click ⋯ at the end of the guest’s row.
  2. 2

    Choose Delete

They disappear straight away, and you’ll see “Guest deleted” with an Undo button.

You can also delete from a guest’s details: click their name, then click Delete at the bottom of the panel (a bin icon on a phone).

Delete several guests

  1. 1

    Select them

Tick each guest, or shift-click to select a range. See bulk edit.
  2. 2

    Click Delete

Click Delete in the bar at the bottom of the screen.
  3. 3

    Confirm

You’ll be asked “Delete 5 guests?”. Click Delete to go ahead.

What deleting does

  • The guest is removed from your list and from their table, so their seat is free again.
  • Any relationships they had (must sit with, keep apart) are removed.
  • Your guest list is shared by every seating plan in the wedding, so the guest is gone from all of them.
  • If they had a plus-one, the plus-one stays on your list, just no longer linked. Delete them too if neither is coming. See plus-ones.

Undo a delete

Illustration: a deleted guest and the Undo button. Sample data.
  • Click Undo in the “Guest deleted” (or “Deleted 5 guests”) message.
  • Or press ⌘ Z on a Mac, or Ctrl Z on Windows, as long as you’re not typing in a box.
  • On a computer, you can also click Undo at the top of the screen.

Undo brings the guest back exactly as they were, including their seat and relationships. It works step by step, so if you’ve made other changes since, undo those first. See undo and redo.

Undo doesn’t survive a reload

Your undo history lives in the open tab. If you reload the page, switch seating plans or come back another day, Undo can’t bring a deleted guest back. On Pro, you can restore an earlier version of your plan from Version history. See version history. Otherwise, add the guest again.

Duplicates: merge instead of delete

If two entries look like the same person (same name, or same email), you’ll see a note at the top of the list: “2 guests look like possible duplicates.” Click Review & merge, choose which record to keep, and click Merge into kept. Merging keeps the best of both: missing details are filled in from the other record, and a seat moves across if the kept guest doesn’t have one. You can undo a merge too.

Tried the app with ImportAdd 50 demo guests? Open Import again and click Remove demo guests to clear them, along with the groups and households they added.

Frequently asked questions

I deleted a guest by mistake. Can I get them back?

Yes, if you act straight away. Click Undo in the “Guest deleted” message, or press Cmd+Z (Mac) or Ctrl+Z (Windows). After a page reload, Undo can't bring them back, but Pro users can restore an earlier version from Version history.

Is there a trash or recently deleted folder for guests?

No. Use Undo straight after deleting, or Version history on Pro.

Should I delete guests who declined?

You don't have to. Marking them Declined frees their seat and leaves them out of meal counts, while keeping a record that they were invited.

Does deleting a guest remove them from all my seating plans?

Yes. All seating plans in a wedding share one guest list, so deleting a guest removes them everywhere.
