Working with couples: sharing and viewer access

Updated

In short

Click Share in a wedding you own, enter the couple's email, choose Editor or Viewer and click Invite. They get a private link and join with a free account. On a wedding owned by a Pro or Agency account, every collaborator gets the paid features. Only one person edits at a time; others can request a turn.

There are two ways planners and couples work together in Lovely Seating. Either you own the wedding and invite the couple, or the couple owns it and invites you. Both work well. What matters is who owns the wedding, because the owner’s plan decides which features everyone gets.

You own the wedding: invite the couple

This is the usual setup on Agency, where you keep every client wedding on your own account.

  1. 1

    Click Share

Open the wedding and click Share at the top (a person-plus icon on a phone). The Invite collaborators window opens.
  2. 2

Enter their email and a role

Type their address under Invite by email and choose Editor or Viewer. Invite each partner separately if you like; there’s no limit.
  3. 3

    Click Invite

We email them a private link. Their row shows “Invite sent — waiting for them to open the link” until they join, then Joined. If the email doesn’t arrive, use the copy-link button next to their name and send the link yourself.

What the couple sees

Opening the link shows You’re invited with your name and the wedding’s name. They click Create a free account to join or sign in, then Join this wedding. The wedding then appears on their own Your weddings page. Access belongs to whichever account opens the link, so ask them to use the account they want to keep.

Editor or Viewer?

  • Editor: can change the plan, for example updating RSVPs, meals or seats.
  • Viewer: can look but not change anything. They see a View only label at the top.

You can switch someone’s role or remove them from the same window at any time. See editors and viewers.

A calm pattern many planners use

Invite couples as Viewers while you build the chart, so they can follow along without moving tables. Ask them to send RSVP and meal changes to you, or switch them to Editor for a set week to update their own guest details.

The couple owns the wedding: they invite you

If the couple started their own wedding, they can invite you from Share (sharing needs Pro or Agency on their account). It shows on your dashboard as Shared · edit or Shared · view.

  • If they have Pro, you get every paid feature on their wedding, including exports, even on a free account.
  • It doesn’t count toward your own wedding limit.
  • Only they can invite others, take control of editing, or rename, archive or delete the wedding.

One editor at a time

Lovely Seating isn’t live co-editing. Only one person edits at a time, so changes never clash. A bar at the top shows who’s editing right now, for example “Sam is editing”. Others see the plan update and can click Request edit. The owner can also click Take control, which switches the current editor to view-only. See one editor at a time.

Frequently asked questions

Does the couple need to pay?

No. If you own the wedding on Agency, the paid features work for everyone you invite to it, even on free accounts.

Can the couple and I edit at the same time?

No. One person edits at a time. Others can click Request edit, and the owner can click Take control.

The couple didn't get the invite email. What now?

Open Share, find their row and use the copy-link button to send the link yourself, or click resend. Check they haven't unsubscribed from our emails, because then we can't email them.

Can I hand the wedding over to the couple after the event?

There's no ownership transfer. You can leave them as a Viewer, or download a backup and charts for them.
