Guests

Age (adult, child, infant) and accessibility needs

Updated

In short

Set Age to Adult, Child or Infant under More details in a guest's details. Children and infants are counted separately for your caterer. For accessibility, open the guest and pick Seating needs such as Wheelchair space or Near entrance/exit. Tag tables to match, and Auto-Seat seats those guests at a suitable table.

Two details help you plan for the people who need a little extra thought. Age sorts guests into adults, children and infants for your headcounts. Seating needs records practical needs, like wheelchair space, so those guests end up at a table that works for them.

Children show a Child chip and infants a Baby chip next to their name. On Overview, the Guest mix shows Adults, Children and Infants, and the Guests screen’s summary shows the same headcount. Declined guests aren’t counted. See caterer counts.

Find all the children

Open Filters and tick Children. It shows children and infants, which is handy for a kids’ table or kids’ meals.

Age doesn’t change seating on its own. Infants still take a seat in the counts. If a baby will be on a lap or in a high chair, add the High chair seating need below.

Record seating needs

Click a guest’s name and find Seating needs in the side panel. Click each need that applies. It saves straight away.

  • Wheelchair space
  • Near entrance/exit
  • Away from speakers
  • Quiet area
  • High chair
  • Aisle access

Seating needs are private. They never appear on printed charts or on your Find Your Seat page. Guests with a need show a small accessibility icon in the list.

Tag tables so Auto-Seat can match them

On the Floor plan screen, open a table and tick what it offers under Table attributes: Near entrance/exit, Near speakers, Quiet area, Wheelchair accessible, Aisle access or High chair. Auto-Seat then puts guests with a need at a table tagged to match. A guest who needs to be away from speakers is kept away from tables tagged Near speakers.

A need only counts once a table is tagged for it

If no table is tagged for a need yet, the guest’s Seating needs box says so: “No table is tagged for Wheelchair space yet”. Auto-Seat ignores that need until you tag a table. See how Auto-Seat works.

Keep an eye on accessibility

  • Open Filters and tick Accessibility needs to see every guest with one.
  • Overview’s Meals card counts guests with accessibility needs, and the health check flags needs that aren’t met at their table.
  • Relationships & seating rules (from the ⋯ menu, Seating rules) lists access needs alongside your other rules.

For anything that isn’t on the list, such as “needs a chair with arms”, use the guest’s Notes. For tips on thoughtful seating, see our seating etiquette guide.

Frequently asked questions

Do children take up a seat?

Yes. Every guest who isn't Declined takes a seat, including children and infants. If a baby won't need a chair, you can leave them unseated, or add the High chair need and tag a table.

Will guests see their accessibility needs on the seating chart?

No. Seating needs are private. They never appear on printed charts or the Find Your Seat page.

Why didn't Auto-Seat put my wheelchair user at an accessible table?

A need only counts once at least one table is tagged for it. Open a suitable table on the Floor plan screen and tick Wheelchair accessible under Table attributes, then run Auto-Seat again. Guests who are already seated aren't moved.

Can I mark a whole kids' table?

Filter by Children, select them, and use Assign in the bulk bar to seat them all at one table.
