Guests

Edit many guests at once

Updated

In short

Tick the checkbox next to each guest, or click one and shift-click another to select everyone in between. A bar appears at the bottom with Assign, RSVP, Group, Meal, Side, Household, Must sit, VIP, Unassign and Delete. Each change applies to every selected guest, and you can undo it.

When the same change applies to lots of people, like “all of these said yes” or “these 12 are having the beef”, select them and change them together.

Select guests

  • One at a time: tick the checkbox at the start of each row.
  • A range: tick one guest, then hold Shift and tick another. Everyone in between is selected too, in the order the list is showing.
  • Everyone showing: on a computer, tick the box in the list’s header row (Select all). It selects every guest that matches your current search and filters.

Filter first

Narrow the list before selecting. For example, filter to No RSVP yet or to one group, then select all. See search, filter and sort.

What you can do

  • Assign: seat the selected guests at one table. It fills the table up to its seat count and tells you who didn’t fit. Guests whose seat is locked are skipped and stay where they are. Either way, the guests left out stay selected so you can pick another table for them.
  • RSVP: set everyone to Invited, Awaiting, Attending, Maybe or Declined.
  • Group: add everyone to a group, or choose No group.
  • Meal: pick one of the meals already in use, or type a meal and press Enter. Clear meal removes it.
  • Side: set whose guests they are, or Clear side.
  • Household: put everyone in one new household, kept at one table. See households and couples.
  • Must sit: with two or more selected, sets them all to sit at the same table.
  • VIP: marks everyone as VIP. To remove VIP, use Remove VIP in a guest’s ⋯ menu.
  • Unassign: takes everyone out of their seats. They stay on your guest list.
  • Delete: removes everyone selected, after you confirm. See delete guests and undo.

On a phone, the bar scrolls sideways if the buttons don’t all fit. Age, dietary notes and seating needs aren’t in the bulk bar; change those in each guest’s details.

Undo a bulk change

Every bulk change is one step you can undo. Press ⌘ Z on a Mac or Ctrl Z on Windows (when you’re not typing in a box), or use Undo at the top of the screen on a computer. Unassign and Delete also show an Undo button in their message.

Frequently asked questions

How do I select a lot of guests quickly?

Tick the first guest, then hold Shift and tick the last one. Everyone in between is selected. Or filter the list and tick Select all in the header row.

Can I change meals for many guests at once?

Yes. Select them, click Meal in the bulk bar, and pick a meal or type a new one and press Enter.

Will bulk Assign respect table capacity?

Yes. It seats guests in order until the table is full, then tells you how many didn't fit. Guests with a locked seat are skipped too. Declined guests don't use a seat, so they never count toward the limit.

Can I undo a bulk delete?

Yes. Click Undo in the “Deleted 5 guests” message, or press Cmd+Z (Mac) or Ctrl+Z (Windows) straight away.
