Choose exact seats, not just tables
Updated
In short
To give someone a specific chair, open Floor plan and drag their name from the guest list onto that chair, or tap an empty chair and choose them from Seat a guest here. Their details then show the seat, like Seat 3. Guests seated at a table without a chair simply fill the free chairs in order.
Most couples only decide who sits at which table. If you want to plan the chairs too, for the head table, or for place cards in a set order, you can put each guest in an exact seat.
Pick a chair for a guest
- 1
Zoom in
On the Floor plan screen, zoom in until you can see the chairs around each table. - 2
Drag onto a chair
Drag a name from the Guest list (the Unassigned tray on a phone) and drop it on the chair you want. The chair lights up and the label on the name says seat. - 3
Or tap an empty chair
Tap or click any empty chair. A list called Seat a guest here shows everyone without a table. Pick a name and they sit in that chair. Or click New guest, type a name and click Add & seat to add and seat them, even if everyone else already has a seat.
Seated chairs show the guest’s initials, coloured by their group. Small badges mark a VIP (star), a plus-one (+1) and a guest with a seating need (+).
Table seating vs exact seats
- Exact seat: you dropped the guest on a chair, picked a chair, or dropped them on a table (they take the first free chair). Their details show the seat, like “Seat 3”.
- Table only: you seated them with Add guest in a table’s panel, or Auto-Seat placed them. They don’t have a fixed chair. On the floor plan they fill the remaining chairs in order.
You can mix both at the same table. Guests with exact seats keep their chairs, and everyone else fills in around them.
How seats are numbered
Seat 1 is at the top of a round, oval or square table, and the numbers go clockwise. On rectangle, banquet and head tables, the first half of the seats run along the top edge and the rest along the bottom. Ceremony sections number their chairs row by row.
Move someone to a different chair
Drag their chair to an empty one. If you drop them on a chair that’s already taken, you’ll be asked whether to swap the two. See move or swap guests.
What prints
The floor-plan chart puts each guest in their own chair, exactly as you arranged them. If more guests are seated than there are chairs, the extras are shown as “+N” so nobody goes missing.
Changing a table can drop exact seats
Frequently asked questions
Do I have to assign exact seats?
No. Seating guests at a table is enough. Exact seats are optional, for when the order around the table matters.
Why don't I see any chairs?
You're zoomed out too far. Chairs appear once you zoom in a little, using the + button or a pinch.
Does Auto-Seat choose exact chairs?
No. Auto-Seat seats guests at tables. They fill the free chairs in order, and you can drag anyone to a particular chair afterwards.
