Floor plan editor basics
Updated
In short
Your floor plan lives on the Floor plan screen, and one view does everything. Drag guests onto chairs, drag tables to move them, and add tables or a dance floor from the rail on the right. Click a table or a guest for its toolbar. Turn on Lock layout when the room is right, and every change saves automatically.
The floor plan is where your room comes together. Go to Floor plan. You’ll see your tables on a canvas, a toolbar across the top, your guest list on the left and a slim rail of tables and objects on the right. Everything you change saves on its own.
The floor plan is a picture of your room, not a measured drawing. There are no real-world sizes, so place things by eye, the way you’d sketch it on paper.
One view for the room and the guests
There’s no switching between modes. What happens depends on what you grab.
- Chairs are guests. Drag a seated guest’s chair to move them to another chair or table, or drop them on the guest list to unseat them. Click a seated guest for their toolbar, or an empty chair to seat someone there.
- The tabletop is the table. Drag it to move the table, or click it to select it and open its toolbar.
- Lock layout in the toolbar freezes the room while you seat people, so a table never moves by accident.
The first time you open the floor plan, a tip sums this up. Close it with the × and it won’t come back.
Add tables and objects
- 1
Use the rail on the right
The rail lists table shapes (Round, Rectangle and One-sided for a head table) and venue objects like the dance floor, bar and stage. - 2
Drag or click
Drag an item onto the floor to place it exactly there, or click it to drop it near the middle of the view. - 3
Add many tables at once
Click Add several… at the bottom of the rail. In Add tables, set How many, Shape, Seats per table and a Name prefix, then click Add table (or Add 10 tables, and so on).
A new head table seats everyone on one side, facing the room. To change that, open the table and set Seats on in Table settings. New tables in an empty room are laid out for you; once you’ve arranged things, new ones go in the open space below. See table types and sizes.
The table toolbar
Click a table and a small toolbar appears above it. Double-click a table (double-tap on a phone) to open its details panel straight away. From left to right:
- Seat guests opens the table’s details panel, and Add guest puts someone in the next free chair: an unseated guest or a new one.
- Rename lets you type a new name right on the canvas. Press Enter to save or Esc to cancel. The small pencil next to the table’s name does the same.
- − and + remove or add a chair.
- Rotate turns it 45°, and Duplicate makes a copy.
- Lock pins this one table in place, and Align snaps it into line with its nearest neighbour.
- Delete removes it, and asks first if guests are seated. They go back to the guest list, never out of it.
On a computer, right-click a table, an object or the empty floor for a quick menu: seat guests, rename, duplicate, rotate or delete, add a table right where you clicked, auto-arrange, and Download / print chart.
The guest toolbar
Click a seated guest and their chair gets a ring, with a small toolbar beside it. Unseat sends them back to the guest list, the pin picks a different table, and Details opens their details panel on the right. Add a +1shows when they don’t have a plus-one yet, and seats the +1 at the same table if there’s a free chair. Remove takes them off the guest list after asking, and you can undo it. Click empty floor or press Esc to close it.
Clicking a name in the guest list on the left opens that guest’s details panel too.
Select, move, resize and rotate
- Select: click a table or object. Hold Shift, ⌘ or Ctrl and click to select more than one. Click empty space (or press Esc) to clear the selection.
- Move: drag it. With a selection, the arrow keys nudge it a little; hold Shift to nudge further.
- Resize or rotate: select one item and use the handles around it. They only show while the layout is unlocked. Making a table bigger spreads its chairs out; it doesn’t add seats.
- Layering: with one item selected, Bring to front and Send to back in the More menu decide what sits on top when things overlap.
Lining things up
While you drag, the item snaps to line up with its neighbours and pink guide lines appear. Hold Shift while dragging to place it freely, or turn off Snap to alignment in the More menu (the three dots). Show grid in the same menu shows or hides the background grid. For whole-room tidying, Auto-arrange is there too.
Lock the layout
Click the padlock (Lock layout) in the toolbar. Tables and objects then can’t be moved, resized, rotated or deleted, but seating guests works exactly as before. Clicking a table or a guest then opens their details panel instead of a toolbar. It’s off until you turn it on. See lock the layout or a table.
Zoom and move around
- Scroll or pinch on a trackpad to zoom toward your pointer.
- Use the controls in the bottom-right corner: − and + zoom, the percentage resets to 50%, and Fit to screen frames your whole room.
- Drag an empty part of the canvas to pan.
- Running out of room? Make the floor bigger (the expand button) adds space. The floor also grows on its own when you drag something past the edge.
Names beside the chairs
Undo a mistake
Press ⌘ Z on a Mac or Ctrl Z on Windows, or use the Undo arrow in the toolbar. Redo is ⌘ ⇧ Z or Ctrl Y.
When the room is ready, seat your guests.
Frequently asked questions
Is the floor plan to scale?
No. There are no real-world measurements in the floor plan, so arrange tables by eye. It's a clear picture of who sits where, not an architect's drawing.
Why can't I drag a table?
Either Lock layout is on (click the padlock in the toolbar to unlock it) or that table is locked on its own. Select it and choose Unlock in its toolbar. On a touch screen, press and hold the table for a moment before dragging.
Where did the Arrange and Seat guests tabs go?
They're gone. You now arrange the room and seat guests in the same view: chairs move guests, tabletops move tables, and Lock layout keeps the room still while you seat people.
Do I need to press save?
No. Every change saves automatically, and you can undo with Cmd+Z or Ctrl+Z.
