Guests can’t find themselves on Find Your Seat

Updated

In short

The guest page only lists guests who are seated and not marked Declined. Search forgives capitals, accents, small typos and common nicknames; add any other nickname in the builder. Seat the guest, check their name and RSVP, and make sure the page is live (or click Update the page now).

When a guest types a name that isn’t on your page, they see We couldn’t find that name. and a suggestion to try their first or last name, or check with the couple. Here’s what causes it and how to fix each one.

How the search works

  • It starts after 2 letters (or 1 Chinese, Japanese or Korean character) and shows up to 6 matches, then the guest taps their name to see their table.
  • It ignores capitals and accents, so “jose” finds “José”. Partial words count, so “ann smi” finds “Anna Smith”, and small typos are forgiven (“Benjmin” finds “Benjamin”). When nothing matches it suggests the closest name.
  • It searches the name as it appears in your plan, plus their full first and last name if you set a different display name.
  • It knows common nicknames, so “Bill” finds “William” and “Katie” finds “Katherine”. For anything else, add a nickname under Seat finder in the builder, or fix a missed search in one tap from Searched for, not found.
Try it: the real search on a fictional guest list. A declined guest and an unseated guest can’t be found.

The guest isn’t seated

Why: only guests with a table appear on the page.

Fix: seat them on the Floor plan screen. See a guest is missing from the chart.

The guest is marked Declined

Why: declined guests are always left off, even if they still have a table.

Fix: if they’re coming, change their RSVP to Attending.

They’re searching a different name

Why: a guest called “Kate” on your list won’t be found by “Katherine”, and the other way round. Typos in your list matter too.

Fix: use the name guests will actually type, the one on their invitation. Ask guests to try their last name if their first name doesn’t work.

Letters like ø, ł, ß or æ, and other alphabets

Special letters match their plain spelling, so “soren” finds “Søren”, “lukasz” finds “Łukasz”, “strauss” finds “Strauß” and “aegir” finds “Ægir”. Typing the special letter works too. Names written in other alphabets, such as Cyrillic, Greek, Arabic, Chinese or Korean, can be searched in that alphabet. A single Chinese, Japanese or Korean character is enough to start a search.

Search doesn’t transliterate between alphabets, though: “Anna” won’t find “Анна”. If guests might type the Latin spelling, set it as the guest’s display name, or include both spellings in it.

Plus-ones show as “+1”

Why: a plus-one you haven’t named appears as the host’s name followed by “+1”, for example “Emily +1”. Their own name isn’t on the page.

Fix: once you know their name, open the plus-one on Guests and enter it. Until then, they can search the host’s name. See plus-ones.

The page hasn’t caught up with your changes

Why: with Keep it live switched on, the page updates from our server every time your plan saves. With it off, the page stays as it was until you update it. If an update fails, the card shows a warning.

Fix: open QR Code / Seat Finder. If you see Retry or Update the page now, click it. Leave Keep it live on so you don’t need to remember. See changes update live.

More than one seating plan?

The guest page shows the seating plan named under Showing seats from in the card, whichever plan you’re editing. If guests see the wrong seating (say, the ceremony instead of the reception), pick the right plan there.

Guests see “This seating page isn’t available”

Why: the page was taken down, or it expired. Pages come down 3 days after the wedding date, or a year after the last update if there’s no date. Deleting the wedding also takes the page down.

Fix: check the wedding date in your wedding details, then click Publish again in QR Code / Seat Finder. If you took the page down yourself, the same link and QR code start working again.

Test it before the big day

Scan your own QR code and search for five or six guests, including a plus-one and someone with an accented name. It takes two minutes and catches most problems.
