Setup

The setup wizard: wedding details, guests and floor plan

Updated

In short

Right after you sign up, a 4-step wizard sets up your wedding: names and date, guest count and table size, table shape, your own table (none, head or sweetheart) and style, then a few first guests. Click Create my floor plan to land on the Floor plan screen with tables arranged. You can change everything later.

The setup wizard runs once, right after you create your account. It asks four short sets of questions and builds a floor plan sized for your wedding. It takes about a minute, and nothing you choose here is final. The top of each screen shows where you are, from Step 1 of 4 to Step 4 of 4.

The four steps

  1. 1

    Tell us about your wedding

Fill in Your name (we copy it from your account), Your partner’s name and Wedding name. The wedding name fills itself in from your two names, and you can type over it. Then pick the Wedding date and click Continue.
  2. 2

    How big is your wedding?

Enter How many guests? and Guests per table. We suggest a Number of tables from those two numbers, and you can change it. A line underneath confirms what we’ll build, for example “We’ll set up 12 tables for 100 guests (plus a head table)”.
  3. 3

    Make it yours

Pick a Table shape (Round, Rectangle or Square), choose Your table, and pick a Style. The style is the colour theme for your printed charts. You can restyle any time.
    • No couple’s table: you’ll sit at one of the guest tables.
    • Head table: set how many seats it has (10 to start) and where the chairs go. Seats on starts at One side (facing guests), a single row facing the room. Pick Both sides for a two-sided table.
    • Sweetheart table: a 2-seat table for just the two of you.
Your table goes at the top of the room with the guest tables arranged below it.
  4. 4

    Add your first guests

Type a few names: the two of you, parents, the wedding party. Your names are filled in for you. You can import everyone else in seconds later.
  5. 5

    Click Create my floor plan

We create your wedding and take you to Floor plan, with your tables already arranged in the room.

Asked to add more names?

On the last step you may see “add at least 4 to continue”. If so, add four names to finish. Otherwise you’ll see Skip for now, and you can add everyone later.

Why the wedding date is required

You can’t continue past step 1 without a date, and it can’t be in the past. We use it to time helpful reminders as your day approaches. If your date isn’t fixed yet, pick your best guess. You can change it later by clicking your wedding’s name at the top of any screen, which opens Wedding details.

Not sure how many tables you need?

Round tables of 8 to 10 feel sociable. Long tables fit more people in less space. The suggestion simply divides your guests by the seats per table. If you want to play with the numbers first, try our wedding table calculator. Its button carries your numbers straight into the wizard, including whether you want a head table. For more on table sizes, read how many guests per table.

What you have after the wizard

  • One wedding, with the name and date you entered.
  • One seating plan, with your tables auto-arranged in the room (plus your head or sweetheart table if you chose one).
  • Your first few guests on the guest list, ready to seat.

Next, bring in the rest of your guests from Guests. See import a CSV or paste from a spreadsheet.

Changing things later

Add, remove or reshape tables on the Floor plan screen or Table list. Change the theme when you export. Edit the names and date in Wedding details. The wizard doesn’t run again once you have a wedding.

Frequently asked questions

Can I go back a step?

Yes. Click Back at the bottom of the wizard. Your answers on the other steps are kept.

My date isn't set yet. What should I enter?

Enter your best guess. The date is required, but you can change it any time in Wedding details by clicking your wedding's name at the top of the app.

Can I run the wizard again?

No, it only runs for your first wedding. Everything it set up can be changed in the app: tables on the Floor plan screen or Table list, guests in Guests, names and date in Wedding details.

I picked the wrong number of tables. Is that a problem?

Not at all. Add or delete tables any time on the Floor plan screen or on the Table list screen.
