Manage many client weddings

Updated

In short

On Agency, create a separate wedding for each client from New wedding on Your weddings. Each one keeps its own guest list and seating plans. Use the ⋯ menu on a wedding card to rename, edit details, duplicate, download a backup or archive it. Archived weddings move to a collapsed list where you can restore them any time.

Every client wedding lives on Your weddings as its own card, with its own guest list, seating plans and Find Your Seat page. Agency lets you have as many as you need. Pro and Free cover 1 wedding, so creating more needs Agency. See the Agency plan.

Create a wedding for a client

  1. 1

    Click New wedding

On Your weddings, click the dashed New wedding card at the end of the grid.
  2. 2

    Fill in the basics

In Create a wedding, enter the Wedding name and the Wedding date. The date is required; if the couple hasn’t picked the day, click We haven’t picked a date yet and choose a month. Your name and Your partner’s name are optional. As a planner, put the couple’s names in the two name fields: they appear on printed charts.
  3. 3

    Pick a starting layout

Choose a starter such as Head table + 10 round tables (marked Recommended), Classic reception, Grand ballroom or Ceremony (aisle seating), or Start from scratch.
  4. 4

    Click Create wedding

The wedding opens on its Overview, ready for the guest list.

Name weddings so they sort in your head

A consistent name like “Patel–Okafor · 14 June” makes the grid easy to scan. You can rename any wedding later from its ⋯ menu.

Keep the grid organised

Each card shows the couple, the date, guest and table counts, how many guests are assigned, a seating progress ring, and when it was last edited. The ⋯ menu on a card has:

  • Rename and Edit wedding details, for the name, couple and date.
  • Duplicate, to copy a wedding with all its seating plans and its guest list. The copy ends in “(copy)”. Handy for a venue you work at often: duplicate a past wedding, then select all its guests and delete them to keep just the room.
  • Download backup, a file copy of the wedding for your records.
  • Archive and Delete.

Archive weddings once they’re done

Archiving hides a wedding from the main grid without deleting anything. Archived weddings sit in a collapsed Archived list at the bottom of the page. Open it and click Restore to bring one back, or the bin to delete it permanently.

Several layouts for one client

If a client needs a ceremony layout and a reception layout, add seating plans inside the same wedding rather than creating a second wedding. They share one guest list. Use the plan menu next to the wedding name. See weddings vs seating plans.

Weddings clients share with you

If a couple owns their wedding and invites you, it also appears on your Your weddings grid with a Shared · edit or Shared · view label. Shared weddings don’t count toward any limit, and you can’t rename, archive or delete them; only the owner can. See working with couples.

Frequently asked questions

Is there a limit on weddings with Agency?

No. Agency includes unlimited weddings and unlimited seating plans in each.

What happens to my weddings if I cancel Agency?

They stay on your account. You just can't create new ones beyond your plan's limit until you restart Agency.

Can I move a wedding to the couple's account?

There's no transfer button. Instead, invite the couple to the wedding from Share so they can view or edit it alongside you.

Where did my archived wedding go?

Scroll to the bottom of Your weddings and open the Archived list. Click Restore to bring it back.
