Editors and viewers: who can do what
Updated
In short
Every shared wedding has one owner, plus the editors and viewers they invite. Editors can change guests, tables and seating. Viewers can look but not change anything. Only the owner can invite people, change roles, take control, and rename, archive or delete the wedding. Change a role any time in the Share window.
A shared wedding has three kinds of people: the owner, editors and viewers. The owner picks a role for each person when they invite them, and can change it at any time.
The owner
The owner is the account that created the wedding. Only the owner can:
- invite people, change their roles and remove them (the Share button is only shown to the owner)
- use Take control to start editing straight away when someone else is editing
- rename, archive or delete the wedding, or edit its details, from the dashboard
Everything an editor can do, the owner can do too.
Editors
Editors can change the plan. That means they can:
- add, edit and delete guests, and set RSVPs, meals and seating rules
- add and arrange tables, and seat guests by hand or with Auto-Seat
- add, rename and delete seating plans in the plan switcher
- use undo and redo, and restore a version from the history
- preview and download exports, when the owner is on Pro
Editors can’t invite anyone or take control from the person editing. They ask for a turn with Request edit instead. See one editor at a time.
Viewers
Viewers see the whole plan but can’t change it. A View only badge sits next to the wedding’s name. If they try to change something, a message says You have view-only access to this plan.
Viewer access suits a venue coordinator, a caterer checking table numbers, or a parent who wants to see the plan without moving anyone.
Viewers still see everything
Change someone’s role
- 1
Open Share
In the wedding, click Share in the top bar. - 2
Find the person
They’re listed under People with access, by email. - 3
Pick the new role
Use the menu next to their email to choose Editor or Viewer. It saves straight away.
If they have the wedding open right now, the change applies the next time they open or reload it.
On the dashboard
Shared weddings are marked Shared · edit or Shared · view on the collaborator’s dashboard. Their menu only offers Duplicate and Download backup, because renaming, archiving and deleting belong to the owner.
Frequently asked questions
Can there be more than one owner?
No. Each wedding has one owner, the account that created it. You can make as many people editors as you like.
Can an editor delete the wedding?
No. Only the owner can archive or delete a wedding. Editors can delete individual seating plans inside it, but the guest list and the other plans stay.
Can viewers print or download the chart?
Yes, if the owner is on Pro. Viewers can open Print & Export and download the chart, but they can't change the plan.
Can I hide guest emails or notes from a viewer?
Not at the moment. Viewers see the whole plan. For guests, share the Find Your Seat page, which only shows names and tables.
