Preview the chart at the real size first
The right size depends on where the chart will be used. Change the page or poster size and the preview updates at the true aspect ratio, so you can see whether names stay readable or the layout is too crowded.
Lovely Seating crops the empty canvas, centres the layout and scales the whole plan to fit — without moving a single guest or table. A small page is fine for a planner’s reference copy; a big room full of names and exact seats will want a larger sheet for an entrance display.
Changing the page size changes the presentation, never the seating plan itself.
A venue version and a guest version
One plan can produce charts for different readers. Give the venue an operational version — the full room with the stage, dance floor, entrances, capacities and exact seats — so the people setting up understand the arrangement.
For the wedding entrance, hide the setup detail and keep it clean: your names, the date, table labels and guest names. Private information — dietary, accessibility, notes and seating relationships — is never added to a guest-facing chart automatically.

With their 126-guest reception planned — head table, fourteen rounds, exact seats at three formal tables, plus dance floor, stage and bar — Olivia and James need two versions of the chart.
Their planner gets a detailed landscape PDF at a larger size, showing the full ballroom, entrances and exact seats. The entrance display uses a cleaner poster with just their names, the date, table labels and guest names.
When one guest moves from Table 6 to Table 9, they regenerate both files from the updated plan — no editing two separate designs by hand.

What to know about chart exports
Printable doesn’t mean printed
Lovely Seating creates the digital file and print view. It doesn’t print, mount, ship or install the physical chart — that’s arranged with your printer or venue.
Page size ≠ the seating plan
Choosing A3 instead of A4 changes how the chart is presented on the page. It never moves guests or rearranges tables in the actual plan.
A bigger sheet isn’t always readable
Readability depends on the number of guests, how much you show, the size and the viewing distance. Use the preview and simplify the visible content when it’s crowded.
An export isn’t an editable backup
PDFs and images are final presentation files. To keep a restorable, editable copy of the whole plan, use the JSON plan-backup workflow instead.

Can I use portrait or landscape orientation?
Yes, both. Wide reception layouts usually fit landscape and tall layouts fit portrait — the preview shows you which uses the page best.
Can I hide venue objects from the final chart?
Yes. You can show or hide guest names, chairs, table labels, venue objects, group colours, couple names and the date — so the same plan makes both a detailed and a clean chart.
Will private guest notes appear in the export?
No. Private notes, dietary details, accessibility information and seating relationships are never added to a guest-facing chart automatically.
Can I send the PDF to a professional printer?
Yes — the downloaded file can go straight to a printer. Confirm their required format, dimensions, bleed, margins and resolution before ordering; Lovely Seating doesn’t control the printer’s production requirements.
