How many tables do you need for 250 guests?

Here is every common table setup for exactly 250 guests. “Guest tables” seats everyone at guest tables; the last two columns move 10 people (the couple and wedding party) to a head table, or just the two of you to a sweetheart table, and count the guest tables left over.

Counts include everyone who needs a chair, including children old enough for their own seat. “Tight” rows use the squeeze number for that table; the others are the comfortable count. Computed with the same rule as our table calculator: guests ÷ seats per table, rounded up.

Which table size is best for 250 guests?

Bigger tables pay off at 250: 25 rounds of 10 against 32 of 8 is 7 fewer centrepieces, linens and table numbers. Twelves at 72-inch rounds get it down to 21 tables, which suits a family-style reception but crowds plated service. Rounds of 10 leave no empty seats at 250, so add a buffer.

Comfortable counts assume about 24 inches of table edge per guest; our guide to how many guests fit at each table covers every shape and size, including 48-, 54- and 66-inch rounds, ovals and squares.

Expecting a number that isn't 250? The wedding table calculator works out any guest count and table size, with an option to leave a spare seat at every table.

What does a 250-guest layout look like?

Below are two example floor plans for 250 guests. Both were generated by Lovely Seating's own layout engine and filled with fictional sample guests by Auto-Seat, with the sample wedding party marked VIP so it fills the couple's table (chair colours show guest groups). They show the table arrangement, not a measured drawing of any venue.

Example layout

Head table + 24 rounds of 10

Example wedding floor plan for 250 guests: a head table for 10 at the top and 24 round tables of 10 in rows below, seated with sample guests (the wedding party at the head table)
250 seats for 250 guests: a head table for 10, seated on one side facing the room, and 24 rounds of 10, arranged by the auto-arrange pattern the editor uses (couple's table centred at the top, guest tables in a grid below). This is exactly the starter plan the button below creates.

Example layout

Head table, six long tables + rounds of 10

Example wedding floor plan for 250 guests: head table, six long tables + rounds of 10, filled with sample guests
252 seats. Six long tables of 12 for the closest family, then 17 rounds of 10. Long tables seat more people per square foot, so mixing them in is one way to fit 250 into a room that would be tight with rounds alone.

In the editor you can drag any table, change its shape or seat count, seat the head table on both sides instead of one, swap it for a sweetheart table, and add the dance floor, bar, DJ and other venue objects around the tables.

How big a room do you need for 250 guests?

Plan on about 3,750–4,500 sq ft for 250 seated guests, including the dance floor and service areas. Long tables in rows are the most compact; 72-inch rounds take the most floor.

Floor area for 250 guests by table setup
Table setupTablesFloor for tablesWhole reception
Round 5 ft (60") — seats 8323,200 sq ft4,420 sq ft
Round 6 ft (72") — seats 10253,250 sq ft4,470 sq ft
Long 8 ft banquet, in rows — seats 8322,560 sq ft3,780 sq ft

“Whole reception” adds the following allowances to the tables:

  • Large dance floor: 450 sq ft
  • Head table: 120 sq ft
  • 2 bars: 200 sq ft
  • 2 buffet lines: 300 sq ft
  • DJ or band: 100 sq ft
  • Cake & gift tables: 50 sq ft

Each table's footprint includes its chairs and its share of the walkways: about 100 sq ft for a 60-inch round, 130 for a 72-inch round and 10 sq ft per guest at long tables set end to end. Serving a plated dinner instead of a buffet? Take off 300 sq ft. To work backwards from a room you've already found, use the wedding venue capacity calculator.

Rules of thumb, not a fire limit

These are planning allowances. Your venue's posted seated capacity, columns, doors and stage are the real limit. The Lovely Seating floor plan shows where tables go relative to each other; it isn't drawn to real-world scale.

How many extra seats for kids and plus-ones at a 250-guest wedding?

Until RSVPs are final, plan seats for about 263 (5% over 250). That's 33 tables of 8 or 27 of 10, so a few late +1s or children don't force a new table. If you'd rather keep one empty chair at every table, 250 guests need 36 tables of 8 or 28 of 10.

  • Children who sit on a chair are guests. Count them in the 250. Babies in a high chair or carrier don't take a seat, but need room beside a parent, usually at a table with a spare place.
  • A kids' table works when you have six or more children of similar age; put it near their parents, not across the room.
  • Name every +1 as a guest (even “Sophie's +1”), so they take a seat in the plan and your count is honest.
  • Vendor meals (photographer, band, planner) need seats somewhere too; many couples give them a small table of their own.

What's different about planning for 250 guests?

Use sections as well as numbers

With 24 or more tables, a guest with “Table 23” still has to search. Divide the room into sections (by colour, letter or name) and show them on the display and the table numbers, so guests head to the right part of the room first.

Sound and screens for the back tables

At this size, guests at the back may not see or hear speeches without extra speakers or a screen. Ask your DJ or AV company about the room's far corner, not just the dance floor.

Plan the move from cocktail hour

250 people walking in at once is the moment the room jams. Open several doors if you can, put escort displays where guests gather for cocktail hour, and seat older guests before the doors open.

The display becomes a poster

Above 230 names our export moves the alphabetical list up to A1, the largest standard size it suggests. Split it across two boards, or use 24 × 36 in or 30 × 40 in poster sizes.
